Overview of Role: Essentially serve as the Welcoming Committee for new Ignition members. Head exit interviews for Apo


Tasks:

Head department and develop policy in partnership with the Apo Board. Strategize on department development as it grows to undertake considerable human resources functions for Apo and its volunteer base.

Develop checklist and tracking system with IT communications and Fluffer to ensure that new Ignition members are welcomed to the organization and understand what their role is, Apo corporate and communications structure, where information is located, and how to document changes in their departments. Includes access and use of email, signing hr documents, accessing and updating the wiki, understanding and accessing role descriptions, describing Apo structure and resources, overview of budgeting and reimbursements, responsibilities and benefits of Ignition--voting, tickets, team creation--Key resources to show new members: contact list, org chart, departmental notes, communication guidelines and descriptions.

Communicate with the Board and track Apogaea policy changes that impact new Ignition members

Assign Spark team members to work with new Ignition members. Track completion of checklist items.

As Ignition members leave position, ensure that wiki is updated with their outgoing resources, documents and knowledge for each position they held.


Objectives:

First official contact with the organization, serving as a greeting committee

Budget: $400 for potential printing of packets


Lines of Communications:

Board approves new Ignition member

Diva receives access to updated Ignition member list, once accounts are set up

Onboarding representative contacts Ignition member and Liaison to arrange for welcoming meeting--video or in person

Onboarding records training completion


Skills for Success:

Thorough familiarity with the structure and communications of Apogaea

Strong written and oral communications skills--ability to communicate information to wide variety of learning styles in different media.

Ability to track details

Flexibility in developing department as a work in progress


Notes: 

The initial meeting should be an overview and welcome. Show people where to find information and who to speak to. Do not overwhelm new members with details.


The meetings are suggested to be group phone conferences. Optimize your use of time, there will be many new additions each year. Board members are highly resistant to requiring face to face meetings with Ignition members. Empower Ignition members to start doing their jobs with the fewest hoops to jump through.


Invite Board liaisons to participate in the onboarding discussions. The intent is not to have the Board members removed from the loop of communications. We do not want to create a situation where the Ignition members call on the Onboarding Diva, rather than their liaison.
